Responsibilities of the Departmental Chair or DAC Chair

  1. The department chair or DAC chair should send a formal statement to all candidates scheduled for formal review. The statement should include department RPT policy and expectations for the candidate in the review process. Departments must attach a copy of the criteria that will be used to evaluate candidates, SOM policy regarding solicitation of external letters of evaluation, and request that candidates waive or retain their rights to review letters of evaluation. Candidates must also be informed at this point of their rights to review their formal RPT file.
  2. The department chair or the DAC chair will meet with each candidate being considered for retention, promotion, or tenure to discuss the following:
    • Review the RPT procedures and policies with each candidate and explain that it is the responsibility of the candidate to provide accurate and up-to-date information for the RPT process.
    • At least three weeks prior to the convening of the official RPT departmental faculty meeting, the department chair shall invite any interested faculty and staff members in the department to submit written recommendations for the file of each candidate to be considered, stating as specifically as possible the reasons for each recommendation.     • The DAC chair will be responsible for preparation of the Master Summary Document (MSD), which will include summary information in the following areas: background, teaching, research/scholarly activities, clinical service (if applicable), administration, internal and external referee letters, and SHAC minutes. This document will serve as the basis of discussion for the DAC meeting, department ad hoc committee(s) if convened, official RPT departmental faculty meeting, and the SOM RPT Committee meeting.
