Responsibilities of the Department

  • The SHAC is charged with the responsibilities to summarize each candidate's teaching efforts and make a recommendation about the quality and impact of those teaching efforts.
  • Each department is responsible for the composition of its SHAC each year. The SHAC should be representative of the candidates being reviewed in the same year. The SHAC is to have at least five (5) members. The membership should include representatives of all trainee groups for the department (e.g., medical students, residents, clinical fellows, graduate students, postdoctoral fellows). Departments are encouraged to have at least one SHAC member serve two consecutive years to promote consistency among recommendations from year to year.
  • At least three weeks prior to the convening of the department RPT committee, the DAC chair shall notify the college’s representative to the Student Senate and the department SHAC of the upcoming faculty reviews and request that the department SHAC submit written recommendations with respect to each faculty candidate to be reviewed.
  • Each department is responsible for (1) convening the SHAC, (2) charging the SHAC with proper review of the academic teaching effort of each candidate, (3) providing the SHAC with the appropriate formal documentation, (4) emphasizing the importance of an informed recommendation from the SHAC for each faculty candidate being reviewed, and (5) providing the formal SHAC voting form.
  • Appropriate formal documentation for each faculty candidate includes (1) his/her CV, (2) self-assessment statement, and (3) formal teaching evaluations. If a faculty candidate teaches outside of his/her department, formal teaching evaluations from that outside department also should be provided to the SHAC. The SHAC does not see faculty candidate's letters of recommendation.

Responsibilities of the SHAC

  • The SHAC is charged with the responsibilities to summarize each candidate's teaching efforts and make a recommendation about the quality and impact of those teaching efforts.
  • The SHAC meets independently. No faculty members may attend the SHAC meetings.
  • The SHAC shall make their written recommendation for each faculty candidate based on the documentation that is provided by the department. The SHAC also may seek personal input from medical students, housestaff, graduate students, and/or clinical/postdoctoral fellows, as reflected by the types of trainees for the department. Hearsay is inappropriate. The types of information sought from fellow students and housestaff regarding each candidate's teaching skills typically includes teaching assignments such as lectures, clinical rounds, conferences, directing student and/or housestaff research, etc. SHAC members may contact faculty candidates for names of students whom the SHAC members may contact to gather information.
  • The SHAC must discuss and vote on each faculty action separately. The SHAC recommendation and vote shall represent their constituency rather than individual SHAC committee member's opinions.
  • The minutes of each SHAC meeting must contain a summary of the sources of the committee's information, discussion, vote, and membership of the committee, as well as the signature of the chair of the committee. A separate set of minutes must be taken for each candidate and should be labeled "Student Advisory Committee Minutes". The minutes must be forwarded to the DAC chair, who will add the documents to the candidate's file before the official RPT departmental faculty meeting. SHAC minutes are not sent to candidate.
  • A responsibility of the SHAC members is to vote a recommendation, rather than abstain for lack of contact with a candidate(s). If the SHAC committee fails to vote a recommendation, they forfeit their right to contribute to the review process.

    The SHAC recommendation and vote should represent their constituency rather than individual committee member's opinions. The minutes should state where the committee got the information on which they based their recommendation. Hearsay is inappropriate in these deliberations. Documentation is required. A responsibility of the SHAC members is to gather information rather than abstain for lack of contact with the candidate.

    The SHAC must meet and discuss and vote on each faculty action. The minutes of the SHAC meeting must contain a summary of the discussion, the vote, membership of the committee, and the signature of the chair of the committee. A separate set of minutes must be taken for each candidate and should be labeled "Student Advisory Committee Minutes". The minutes must be forwarded to the DAC chair and added to the candidate's file before the official RPT departmental faculty meeting.

    SHAC minutes are not sent to candidates but are incorporated into the MSD by the DAC chair.

    The SHAC does not see letters of evaluation.

    The SHAC Committee meets independently- No faculty members may attend their meeting.
