    Best Practices Taskforce

    Mission Statement

    Our mission is to deliver pertinent information to our GME community to promote streamlined processes for Program Coordinators and Managers. We aim to cultivate continuous improvement by providing a network of support to deliver instruction and encourage knowledge sharing within our community.

    Accomplishments

      We host informative and interactive quarterly training workshops designed to deliver helpful information to our Program Coordinators/Managers. 

      • Presentations often cover PC/M tasks for the coming quarter. Other topics include:
        • Major GME announcements
        • Personal and professional growth
        • Well-being
        • Recognition of outstanding members of our PC/PM community
      • Most of these workshops are held virtually or in a hybrid format to accommodate the various work conditions of our PC/PM community.

      We constantly work to make the quarterly workshops more helpful and engaging using feedback from audience surveys and exploratory research. 

      The GME Program Managers/Coordinators Teams channel was created to connect our PC/PM population through instant messaging conversation and streamlined resource sharing.

      • Before this Teams channel was created, all communication between PC/PMs was primarily done through email. Now, PC/PMs can start their own conversations, ask for advice, check on each other’s well-being, share files, and so much more. All while doing so in a protected environment including only PC/PMs and the GME Office.

      We organize monthly Drop-Ins with GME that bring together OGME Staff and experienced PC/PMs to assist PC/PMs who need extra support. In these unstructured sessions, participants can ask questions and get answers in real-time or referrals to experts or other resources.

      These virtual meetings are held on different days and times each month to accommodate a variety of schedules.

      Wellness Taskforce

      Mission Statement

      The Wellness Task Force, a sub-committee of the PCMAC, mission is to provide well-being initiatives to address the specific needs of coordinators by fostering an environment conducive to employee growth, wellness, and alignment with the institution's mission. The wellness initiatives aim to optimize coordinators’ mental, emotional and physical health, ultimately leading to improved retention rates and enhanced overall wellness. 

      Accomplishments

      • Walking Challenge
        • This offers WellU credit to coordinators, which provides a discount on their monthly health insurance premiums.  It also encourages coordinators to be more physically active, which leads to improved mental and physical health.   
      • Mentorship Program
        • The Mentorship Program assigns a seasoned coordinator to a new coordinator. Mentors and mentees meet on a regular basis.  This provides new coordinators with additional training, resources, suggestions for best practices, help with setting up processes and peer support.  
      • Education Upper Managers/Directors Meeting (Every other month)
        • Provides a collaborative space to connect, share insights, and discuss program operations. The group focuses on navigating day to day responsibilities, addressing common challenges, and exchanging ideas related to management topics such as policy development, budgeting, performance management, crucial conversations, leadership development, and program coordination.
